What does the Kontuly audit log record?

Applies to Kontuly 0.2 beta Updated

Kontuly's Audit Log records every change made to a business's books: what was done, to what, and when, and whether you did it or the app did it automatically. Entries can't be edited or deleted, and the log is part of the business, so it's in every backup.

  1. Open Audit Log in the sidebar, under Settings. Entries are listed newest first, 500 at a time; click Show more for older ones.
  2. Search. Type a document number such as INV-0042, a contact's name or an amount as written in the summary, such as 1,100.00.
  3. Narrow it down with Action (such as only Void), Entity (such as only invoices or settings) and From and To dates. Clear shows everything again.
  4. Click an entry with an arrow beside it to see the values Before and After the change.
  5. Click Export CSV to save every matching entry, oldest first, for your accountant or auditor. It opens in Excel, Numbers or Google Sheets.

What is recorded?

Creating, editing, approving, paying and voiding invoices, bills and credit notes; every journal posted; bank imports and coding; reconciliations; changes to accounts, contacts, tax rates and bank rules; attachments; changes to settings (naming the fields changed, never your email password); and conversions from another package.

Just looking at things, such as opening a report, isn't recorded.

What do the columns mean?

When is the date and time on this computer's clock. Action is Create, Update, Post (a journal posted to the ledger), Void or Delete. Entity is what was changed. Source is User for something you did, or System for something the app did itself, such as an overdue reminder or the reversing entry posted when you void something.

One action often writes several entries. Approving a bill, for instance, records the journal being posted and the bill being approved.

Does the log show who made a change?

It shows User or System. Kontuly is used by one person on one computer, so there are no separate user names.
