How do I send my Kontuly books to my accountant?
In Kontuly, open Import & export → Export for your accountant, choose your accountant's package and the period, and click Export…. Your accountant doesn't need Kontuly: the files are in their package's own import format, with a READ-ME of the import steps.
- Open Import & export in the sidebar, under Settings. The Export for your accountant tab opens.
- Choose the Package your accountant uses. If they don't mind, Generic CSV works for everyone.
- Set the Period. It starts as your last full financial year; Last financial year puts it back.
- Choose Journals:
- Every transaction: one journal per transaction, so your accountant sees everything as recorded.
- One summary journal: each account's net movement for the period. Smaller, and enough for most year-end work.
- Click Export… and choose a folder.
Kontuly creates a new folder inside the one you chose, named for the package and period, writes the files into it and opens it. Nothing in your books changes.
What goes in the export?
Your chart of accounts, your contacts, the period's journals in the package's format and a READ-ME.txt file. Generic CSV adds trial balances at the start and end of the period. Send the READ-ME with the files: it lists them and gives your accountant step-by-step import instructions, in order.
Are invoices and bills included?
As accounting entries, not as documents. Your accountant gets the effect of every transaction, which is what year-end work needs. What customers and suppliers owe is in the receivables and payables balances.
Which package should I choose?
The one your accountant imports into. Kontuly export formats for accountants explains each, including the practice ledgers accountants use for tax returns.
What else can I send?
Any report as a PDF or CSV, or the audit log as a CSV. If your bookkeeper also uses Kontuly, send a backup instead; see Can my bookkeeper and I both use Kontuly? More for accountants is at kontuly.com/accountants.
Can my accountant's changes come back?
Not automatically. The export is one way. Enter your accountant's adjustments in Kontuly as manual journals.
