How do I give a customer a credit note in Kontuly?
In Kontuly, open the invoice you're crediting and click Credit note, change the lines to show only what you're giving back, and click Approve. The credit is applied to that invoice straight away if it still has money owing; otherwise it stays on the customer's account to apply later or refund.
A credit note is the reverse of an invoice: instead of changing the original, you issue a second document that cancels part or all of it, and both stay in your books.
- Open the invoice. It must be approved or paid; a draft or void invoice can't be credited.
- Click Credit note. A customer credit note opens with the invoice's customer and a copy of every line.
- Edit the lines. Change the quantity or price, or remove lines with the ×, so they show only what you're crediting.
- Click Approve. You'll see how much was applied, for example "$440.00 applied to invoice INV-0003".
Approving reduces your sales, the GST you owe (label 1A on the BAS goes down) and what the customer owes. Credit notes are numbered CN-0001, CN-0002 and so on.
How do I use credit left on the account?
Open the credit note from Credit notes in the sidebar. Under Apply to invoices, enter an amount next to any unpaid invoice for that customer and click Apply. One credit note can cover several invoices.
How do I pay the customer back in cash?
Open the approved credit note and click Record refund. Check the Date and Amount, choose the bank account in Paid from, and click Record refund. If the refund is already in your imported bank transactions, match that bank line to the credit note in Banking instead.
Can I make a credit note without an invoice?
Yes: in Credit notes, on the Customers tab, click New customer credit. It suits a goodwill credit or one covering several invoices. It isn't applied to anything until you apply it.
Can I email a credit note?
There's no email button. Click Save PDF and attach the file to your own email.
How do I cancel a credit note?
Remove every allocation and refund, then click Void. As with invoices, if the credit note is in a period you've already reported on a BAS, lock the period and correct it with a new document dated today instead.
