How do I void or cancel an invoice in Kontuly?

Applies to Kontuly 0.2 beta Updated

To cancel an invoice in Kontuly, open it and click Void, then confirm. Voiding takes the sale, the GST and the amount owing back out of your books, and the invoice keeps its number, marked Void.

  1. Remove any payments first. An invoice with payments or applied credit can't be voided. Remove each from its Payments list (see How do I record a customer payment?).
  2. Open the invoice and click Void. Or hover over it in the Invoices list and click the void icon.
  3. Confirm. You'll see Invoice voided.

A draft is simply marked Void: nothing was in your books. An approved invoice gets an equal and opposite entry, dated on its issue date. Both entries stay in your journals, so the history is kept.

Void or credit note?

  • Void when the invoice should never have existed: sent to the wrong customer, raised twice, or the job was cancelled.
  • Credit note when the invoice was real but the customer is owed some or all of it back: a refund, a discount agreed later, or returned goods. The invoice stays, and the credit note reduces what they owe. See How do I give a customer a credit note?

A fully paid invoice has no Void option: use a credit note.

What if I've already lodged the BAS for that period?

Don't void. The reversal is dated on the original issue date, so it would change figures you've already reported. Instead, set your lock date in Settings to the end of the period you've reported, so nothing can change in it, and raise a credit note dated today. An invoice dated on or before the lock date can't be voided at all.

Can I delete an invoice instead?

No. Every invoice, even a draft, has a number as soon as it's saved, and numbers are never reused, so your sequence has no gaps to explain. Void a draft you don't need; nothing changes in your books. See Why can't I delete a draft invoice?
