How do I add a customer or supplier in Kontuly?

Applies to Kontuly 0.2 beta Updated

In Kontuly, click Contacts in the sidebar, then New contact, fill in the name and choose whether they're a Customer, Supplier or Both, and click Create. Customers and suppliers share one list, and an invoice or bill can only be written for a contact that already exists.

  1. Open Contacts. Click Contacts in the sidebar.
  2. Click New contact. If the list is filtered to Suppliers, the new contact starts as a supplier.
  3. Fill in the details. Only Name is required: the business or person's name as it should appear on invoices and statements.
  4. Choose the Type. Customer for people you invoice, Supplier for people whose bills you pay, Both for someone you sell to and also buy from.
  5. Click Create.

Which details are worth filling in?

  • First name and Last name: the first name is used to greet the customer in invoice and reminder emails.
  • Email: where invoices, statements and overdue reminders go. A customer with no email address can't be emailed.
  • ABN: printed on the customer's invoices.
  • Billing address: printed on invoices and statements.
  • Bank account (for paying them): suppliers only, a BSB and Account number, used when you pay bills in a batch with an ABA file.
  • Notes: your own notes. They're never printed.

Changes to a contact apply everywhere straight away, including on invoices you save or email again later, because documents always use the contact's current details.

What does a contact's page show?

Click a contact's name to see what they owe you (Owes you), what you owe them (You owe), any credit they can still use, and every quote, invoice, bill, credit note, payment and refund for them, newest first.

How do I remove a contact?

Click the archive icon on their row, then Archive. A contact used on any document is archived: hidden from the lists, with their history kept. A contact never used is deleted. To bring an archived contact back, tick Show archived and click the restore icon.

Can I add a customer while writing an invoice?

No. Add the contact in Contacts first, so it's worth adding your regular customers and suppliers early. You can also bring contacts in from another accounting package; see Switching to Kontuly.
