How do I post a manual journal in Kontuly?

Applies to Kontuly 0.2 beta Updated

In Kontuly, open Journals, click New journal, enter the date and a narration, add a debit and credit line for each account, and click Post journal when the status says Balanced. Use a manual journal only for adjustments that have no invoice, bill or bank line.

A journal moves amounts between accounts. Every line is a debit or a credit, and the debits must equal the credits. A debit increases an asset or expense and decreases a liability, equity or income account; a credit does the opposite.

  1. Click New journal on the Journals screen.
  2. Enter the Date. That's when it counts in your reports.
  3. Enter a Narration that makes sense to someone reading it later, such as Depreciation of office equipment, FY2026. Optionally add a Reference, such as ADJ-01.
  4. Add the lines. Choose an account on each line and type an amount in Debit or Credit.
  5. Click Add line for more lines; a journal keeps at least two.
  6. Check the status. "Out of balance by …" means the totals differ; Balanced means ready.
  7. Click Post journal. You'll see "Journal posted".

Example

To move $200 coded to Office expenses into Repairs and maintenance: debit Repairs and maintenance $200, credit Office expenses $200.

When should I use one?

  • Adjustments your accountant gives you: accruals, prepayments, provisions.
  • Moving an amount after a coding mistake that's already locked in.
  • Pay runs, so PAYG W1 and W2 are right.
  • Opening balances when starting fresh rather than converting from another package.

What can't a manual journal do?

  • Carry GST. There's no tax column, so manual journals never reach your BAS. Record a purchase or sale with GST as a bill, invoice or bank line instead.
  • Post to Accounts Receivable or Accounts Payable. Use a credit note, or void and re-enter the invoice or bill.
  • Be edited or deleted. If it's wrong, void it and post a corrected one.
  • Be dated in a locked period. See How do I lock a period?
