How do I add, edit or archive an account in Kontuly?
In Kontuly, open Chart of Accounts, click New account, fill in the code, name, type, GST code and report group, and click Create. Edit an account with its pencil icon, and archive one with the archive icon; an account that's never been used is deleted instead.
Add an account
- Click New account.
- Enter a Code. It must be unique, for example
6170. - Enter a Name, for example
Cleaning. - Choose the Type. The report group resets to the first group for that type.
- Choose the GST code, the default rate for bank lines coded to it.
- Choose the Report group. The help text says where the account will appear.
- Tick This is a bank / cash account for a bank account, card or cash float.
- Click Create. It's available everywhere straight away.
Edit an account
Hover over it, click the pencil icon, change what you need and click Save. The code, name, GST code and report group can always change; past transactions stay in the same account with its new label.
What can't change?
- Type, on a system account or any account with transactions. That would silently move past amounts between the Profit and Loss and the Balance Sheet. Create a new account of the right type and move the balance with a manual journal.
- This is a bank / cash account, once the account has bank transactions.
- The Report group must suit the type.
Archive or delete an account
Click the archive icon (Archive / delete) and confirm with Archive.
- If the account has transactions or is used anywhere (a bank line, a bank rule, a line on any invoice, bill or credit note, drafts included), it's archived: it leaves the account pickers but its history stays in your reports.
- If it's never been used, it's deleted.
System accounts can't be archived. If a bank rule points to the account, change or delete the rule too.
To bring an account back, tick Show archived and click the restore icon on its row.
