How do I track time and invoice hours in Kontuly?

Applies to Kontuly 0.2 beta Updated

In Kontuly, click Time in the sidebar to record hours for a customer, with Start timer or Add time. When you're ready to bill, tick the entries and click the Invoice button (for example "Invoice 3 entries") to make a draft invoice, which changes nothing in your books until you approve it.

To time work as you go, choose the Customer, type what you're doing, and click Start timer. Click Stop when you finish; the time is rounded to the minute. Only one timer runs at a time, and it keeps counting if you close Kontuly, so stop it when you stop working.

To add time by hand:

  1. Click Add time.
  2. Choose the Customer, the Date and the Time. 1:30, 1.5 and 90m all mean an hour and a half (up to 24 hours per entry).
  3. Add a Description and, if several people work for you, Who did it. Both go on the invoice line.
  4. Set the rate. Choose an Item, such as a consulting service, to fill in its rate and tax rate, or type the Rate per hour (before tax).
  5. Untick Billable for time you won't charge. It still counts in the Time Summary report.
  6. Click Save.

How do I invoice the time?

  1. Tick the time to bill. It must all be for one customer.
  2. Click the Invoice button. It shows how many entries you ticked, for example "Invoice 3 entries".

Kontuly makes a draft invoice dated today, with a line for each entry: the date, description and who did it, the hours as the quantity (20 minutes is 0.3333 hours) and the rate as the price. Check it and approve it as usual; see How do I create and send an invoice?

The time is then Billed. If you void that invoice, the time goes back to To bill.

How do I take time off a draft invoice?

Editing the draft invoice doesn't change the time entries. Click Release on the entry in the Time list while its invoice is still a draft: its line comes off the invoice and the time goes back to To bill. If it's the only line, void the draft instead.

Where do I see total hours?

Reports → Time Summary shows each customer's hours, billable hours, what's been billed and what's still to bill. Tick Detail to list every entry.
