How do I write a contract for a customer in Kontuly?
In Kontuly, click Contracts in the sidebar, then New contract, choose the customer and a template, describe the work, and click Save. Templates hold your wording once, with merge fields such as {{customer_name}} and {{start_date}} that Kontuly fills in for each customer.
- Add a template. On the Templates tab, click Add starter template for a ready-made services agreement, or New template to write your own. The starter is a starting point, not legal advice: have your terms checked by a lawyer.
- Click New contract. Choose the Customer and the Template.
- Check the dates. Set the Contract date, and when it Starts and Ends (leave the end blank for an ongoing contract).
- Describe the work in What you're contracting to do. It's printed wherever the wording has
{{scope}}. - Fill in Fields for this contract, if the template has fields of its own.
- Add prices, if you'll invoice from the contract. Click Add prices and add lines as on a quote.
- Click Save. Contracts are numbered CT-0001, CT-0002 and so on.
- Click Email contract, or Mark as sent if you gave it to the customer another way.
How do merge fields work?
A merge field is a name in double braces. Click one in the Insert a field list to put it in the wording. Kontuly fills in your business details, the customer's details, the dates, the scope and the totals. {{line_items}} on its own line prints the price table there. Any other name you type, such as {{notice_period}}, becomes a field you fill in for each contract. A field left empty prints as a line to fill in by hand.
Simple marks lay out the wording: # Heading, ## Subheading, 1. for a numbered paragraph, - for a bullet, **bold**, and --- for a new page.
What happens when the customer accepts?
Click Accepted. The contract is then locked as agreed: a later change to the customer's address doesn't rewrite a signed contract. Attach the signed copy under Attachments. Undo acceptance takes it back to sent, as long as nothing has been invoiced from it.
How do I invoice from a contract?
Open the accepted contract. Create invoice makes a draft invoice of its lines. Start recurring invoice invoices them on a schedule, for example a monthly retainer. You can do both. For a deposit and progress payments, see How do I invoice a deposit and progress payments?
A contract changes nothing in your books until an invoice made from it is approved.
