Why can't I edit an approved invoice or bill in Kontuly?
Once an invoice or bill is approved in Kontuly, it's part of your books and can't be changed, so you'll see "Only draft invoices can be edited" or "Only draft bills can be edited". To correct it, void it and enter it again, or raise a credit note for the difference.
Which fix do I need?
- The whole document is wrong (wrong customer or supplier, wrong amounts, entered twice): remove any payments, void it, and create it again. See How do I void or cancel an invoice?
- The customer should pay less, or the supplier has reduced what you owe (a refund, discount, return or overcharge): raise a credit note from the document. See How do I give a customer a credit note? or How do I record a supplier credit note?
- Only a payment is wrong: remove the payment from the document's Payments list and record it again.
Why won't it let me void?
An invoice or bill with payments can't be voided: "Cannot void an invoice with payments — reverse the payments first". Open it and use the bin icon in its Payments list:
- a payment recorded by hand is reversed and removed;
- credit applied from a credit note is taken off, and the credit goes back to the credit note;
- a payment marked matched has no bin icon: use Unassign (reverse) on its bank line in Banking.
I've already lodged the BAS for that period
Don't void. A void is dated on the original date, so it changes figures you've already reported. Set the lock date in Settings to the end of the reported period, so nothing in it can change, and raise a credit note dated today instead.
Why does Kontuly work this way?
So your records show what happened and when. Nothing approved is quietly rewritten: every correction is a second, dated entry that you, your accountant or the ATO can follow.
