How do I convert my books into Kontuly from another package?

Applies to Kontuly 0.2 beta Updated

In Kontuly, set up a new, empty business, then open Import & export → Convert from another package and work through the steps: choose your old package and conversion date, add the files you exported, check the review and click Import…. Nothing is saved until that last click.

  1. Set up a new business with New business in the business switcher. Converting into a business that already has transactions adds opening balances alongside them.
  2. Open Import & export in the sidebar, under Settings, and choose the Convert from another package tab.
  3. Choose Converting from and the Conversion date. What to export from … then lists the five files to export from your old package, with the menu path for each. Run every report as at the day before the conversion date. Click Next.
  4. Add each file. For accounts, contacts, the trial balance, open invoices and open bills, click Choose file…. Kontuly matches the columns; check the Header row and each Column in the file, and change any that are wrong. Only the trial balance is required.
  5. Check the accounts. For each account, check its Type, Report group and Tax code. Archive unused starter accounts (ticked to begin with) tidies away the accounts Kontuly set up that your old chart doesn't use.
  6. Check the totals. The trial balance should balance, and the open invoices and bills should equal accounts receivable and payable in the trial balance.
  7. Review. Under Balances without an account, pick the account for any line that didn't match. Read the Issues; errors must be fixed, warnings needn't be.
  8. Decide on the lock. Lock the books on and before the day before the conversion date is ticked to begin with, so nothing is posted into the period your old package covers.
  9. Click Import…, then Import to confirm. Kontuly takes a backup first.

You'll see Conversion complete, with buttons for the Trial Balance, Aged Receivables and Aged Payables reports. Check them against the same reports from your old package.

What does the import post?

One conversion journal, dated the day before the conversion date, holding every opening balance; each unpaid invoice, bill or credit note as an approved document for its unpaid amount; and a starting reconciliation for each bank account at its converted balance.

Why does it ask about tax in unpaid invoices and bills?

If you report GST on the cash basis, the GST in unpaid invoices and bills hasn't been reported yet, so Tax included in unpaid invoices and bills splits it out. It then reaches your BAS when the payment is recorded. On the accruals basis it was already reported, so they come in without tax.

The totals don't agree

Anything that doesn't agree goes to an equity account called Historical Adjustment. See What is the Historical Adjustment account?

My Excel file won't open
