Why won't Kontuly email my invoices or statements?
When Kontuly can't email an invoice, quote or statement, the message says why: usually email isn't set up in Settings → Email (SMTP), the password needs to be an app password, or the customer has no email address. Fix the cause, then click Email invoice again.
What the messages mean
| Message | What to do |
|---|---|
| "SMTP is not configured — add your email settings first" | Fill in Email (SMTP) in Settings and click Save changes. See How do I set up email in Kontuly? |
| "No "from" email address configured" | Enter From email in Email (SMTP). |
| "The saved SMTP password can't be read on this computer…" | The password was saved on another computer, for example before you restored a backup here, and only that computer can read it. Type the password again and click Save changes. |
| "Customer has no email address" | Add an email address to the customer in Contacts. |
| "Server did not accept the message" | Your mail server refused it. The rest of the message usually says why. Check the from address is one your account may send from. |
| "Approved, but email failed" | The invoice was approved and recorded; only the email failed. Fix the cause, then click Email invoice. Don't create the invoice again. |
How do I test my settings?
Click Test connection in Email (SMTP). It tests what's typed in the boxes, even before you save; an empty password box uses the saved password. You'll see SMTP connection OK or SMTP test failed with the reason. The test doesn't send a message, so to be sure mail arrives, email an invoice to yourself.
Common fixes
- Gmail and Outlook need an app password, not your normal password. Create one in your email account's security settings.
- Port and TLS: tick Use TLS/SSL (secure) for port 465; leave it unticked for port 587.
- Username is usually your full email address.
- From email should usually match your username: many providers only send from the account you log in with.
The password box says (saved — leave blank to keep) once a password is saved. Leave it blank unless you're changing it.
Why didn't a recurring invoice or reminder go out?
Recurring invoices and overdue reminders are emailed by the app while it's running. A failed recurring email shows Couldn't be emailed on the template; email it from Invoices. A failed reminder is tried again at the next check. See How do overdue invoice reminders work?
