How do I create a purchase order in Kontuly?

Applies to Kontuly 0.2 beta Updated

In Kontuly, click Purchase orders in the sidebar, then New purchase order, add what you're ordering, click Save and then Email to supplier. When their invoice arrives, open the order and click Create bill; nothing is owed and no GST is claimed until that bill is approved.

  1. Click New purchase order.
  2. Choose the Supplier and check the Date. Add a Deliver by date, the Supplier's reference (such as their quote number) and a Deliver to address if you need them; they're printed on the order.
  3. Add the lines. Pick an item, or type a description, choose the account and enter the quantity and the price excluding GST. A tracked stock item needs no account.
  4. Add Notes, such as delivery instructions. They're printed too.
  5. Click Save. Orders are numbered PO-0001, PO-0002 and so on.
  6. Click Email to supplier to send it as a PDF, or Mark as sent if you printed it, phoned it through or used your own email.

The printed order is headed Purchase Order and asks the supplier to quote its number on their invoice.

How do I turn it into a bill?

Open the order and click Create bill. Kontuly makes a draft bill with the order's lines and prices, dated today and due in 30 days, and marks the order Billed. Enter the supplier's invoice number, check the amounts against their invoice, change anything that differs, and approve it. See How do I enter a supplier bill?

If you void that bill, or delete it while it's a draft, the order shows Bill voided or deleted and can be billed again.

How do I cancel or repeat an order?

  • Cancel order marks it Cancelled; Reopen as draft brings it back.
  • Copy starts a new draft with the same supplier and lines: handy for repeat orders.
  • Delete removes an order, unless its bill still stands.

A draft or sent order can be changed; a billed or cancelled one can't. Attach the supplier's quote under Attachments on a saved order.
