How do I fill a bill from a receipt in Kontuly?

Applies to Kontuly 0.2 beta Updated

On a new or draft bill in Kontuly, click Read a receipt and pick a PDF or photo of the receipt or supplier invoice. Kontuly reads it on your computer, sending nothing anywhere, and fills in the supplier, number, date, total and GST for you to check before you approve.

  1. Open a new or draft bill. In Bills, click New bill.
  2. Click Read a receipt. Choose a PDF or a photo (JPG, PNG or WebP).
  3. Check what was filled in. The Supplier, when the receipt's ABN or name matches one of your contacts; the receipt's number as the bill's reference; its date; and a line for the total, with GST if the receipt shows any.
  4. Choose the account for the line, or split it into several lines.
  5. Check every figure against the receipt. The reading is a starting point, never to be trusted as is.
  6. Click Save draft or Approve. The receipt is attached to the bill when you save.

Why didn't it find the supplier?

The receipt's ABN and name didn't match any of your contacts. Kontuly tells you the name it read, so you can choose the supplier or add them in Contacts.

Why is the bill split into two lines?

When the GST shown is less than the total implies, part of the purchase is GST-free. Kontuly splits it into a GST line and a GST-free line for the rest. Lines you'd already typed are kept, and the receipt's lines are added after them.

What reads best?

  • PDFs from a supplier's system read best.
  • Photos are read by text recognition: take them straight on, in good light, with the whole receipt in the picture.
  • Scanned PDFs (a picture with no text in it) can't be read. You'll see "This PDF is a scan with no text in it". Take a photo or screenshot of it and read that instead.

Files can be up to 15 MB. Receipts are read in English only.

Is my receipt uploaded anywhere?

No. Reading happens on your computer, and the file is kept inside your books as an attachment, so your backups include it. See Your data.
