How do I record paying a bill in Kontuly?

Applies to Kontuly 0.2 beta Updated

In Kontuly, the best way to record paying a bill is to match the payment to the bill when it appears in Banking. If the payment isn't in your imported transactions yet, open the bill and click Record payment instead (use one way or the other for each payment, never both).

To match it in Banking:

  1. Open Banking and find the payment (money out).
  2. Click the line's match icon.
  3. Tick the bill under Approved bills. The closest match is listed first. One payment can cover several bills: tick each and adjust the amounts until they add up to the bank line.
  4. Click Match.

The bill becomes Paid if that cleared it; otherwise it stays Awaiting payment with a Part paid badge.

Recording a payment by hand

Open the bill, click Record payment, check the Date paid and Amount (the full amount owing to start with; lower it for a part payment), choose the bank account in Paid from, and click Record payment. The date can't be before the bill date, and you can't pay more than is owing.

When that payment later shows up in Banking, open the match window on the bank line and choose it under Payments already recorded. Matching the bank line to the bill itself would pay the bill twice.

How do I remove a payment?

Open the bill and click the bin icon next to the payment in its Payments list, then Remove. The payment is reversed and the bill is owing again. Some payments can't be removed there:

  • Marked matched: use Unassign (reverse) on the bank line in Banking.
  • Part of a batch: cancel the batch from Pay bills.
  • Dated on or before your lock date, or in a finished bank reconciliation: change the lock date or undo the reconciliation first.

Where do I see what I owe?

The heading of the Bills list shows the total owing and how much is overdue. The Overdue filter lists bills past their due date, and the Aged Payables report groups everything you owe by how overdue it is.
