How do I record a supplier credit note in Kontuly?

Applies to Kontuly 0.2 beta Updated

In Kontuly, open the supplier's bill and click Credit note, change the lines to match their credit note, and click Approve: the credit is applied to the bill straight away, up to the amount still owing. For a bill you've already paid, create it from Credit notes with New supplier credit.

  1. Open the bill. It must be approved and still owing.
  2. Click Credit note. A supplier credit note opens with the bill's supplier, lines and Amounts are setting.
  3. Change the lines to match the supplier's credit note.
  4. Type their number in Supplier's credit ref, if it has one.
  5. Click Approve.

Approving reduces your costs, the GST you can claim (label 1B on the BAS) and what you owe the supplier.

What if the bill's already paid?

In Credit notes, open the Suppliers tab and click New supplier credit. Fill in the supplier, date and lines, and click Approve. The credit then sits on the supplier's account. Apply it to their next bill under Apply to bills, or, if they pay you back, click Record refund, choose the bank account in Received into, and click Record refund.

If the refund is already in your imported bank transactions, match that money-in line to the credit note in Banking instead, under Supplier refund of a credit note.

What if the supplier's document is a negative invoice?

Enter it as a supplier credit note. A bill's total must be more than zero.

Returning stock to a supplier

Put the tracked item on the credit note's line and approving it takes the stock out. See How do I track stock in Kontuly?

How do I cancel a supplier credit note?

Remove every allocation and refund, then click Void. Supplier credit notes aren't printed or emailed: they're the supplier's document, and you're recording them.
