Why can't I code an invoice line to a bank account in Kontuly?

Applies to Kontuly 0.2 beta Updated

Invoice, bill and credit note lines in Kontuly can't use a bank account, Accounts Receivable, Accounts Payable or a GST account, so you'll see "Lines can't be coded to a bank or control account". Choose an income account on an invoice, or an expense or asset account on a bill.

Why not?

Those accounts are moved for you, by approvals and payments, not by lines:

  • Accounts Receivable (what customers owe you) goes up when you approve an invoice and down when they pay.
  • Accounts Payable (what you owe suppliers) goes up when you approve a bill and down when you pay it.
  • GST accounts take the GST from each line's Tax rate.
  • Bank accounts move when you record a payment or match a bank line.

Coding a line straight to one of them would count the money twice or leave a document out of step with the ledger.

What should I do instead?

  • To record that a bill was paid, record a payment on it. Bills say so directly: "Bill lines can't be coded to a bank account — record a payment instead". See How do I record paying a bill?
  • To record that an invoice was paid, see How do I record a customer payment?
  • For the GST, choose the right Tax rate on the line, such as GST 10% or GST Free.

Why is the Inventory account refused too?

Stock moves only through tracked items on bills, invoices and credit notes, and stock adjustments, so the Inventory account always matches the stock you hold. Pick the tracked item on the line instead; see How do I track stock in Kontuly?
