Why must I match a payment to an invoice in Kontuly?

Applies to Kontuly 0.2 beta Updated

Kontuly shows "Match this transaction to an invoice instead of assigning it to Accounts Receivable" because money from a customer must be matched to their invoice, so the invoice shows as paid and what customers owe stays right. Click Match on the bank line in Banking and tick the invoice.

The same applies to suppliers: "Match this transaction to a bill instead of assigning it to Accounts Payable". Click Match and tick the bill.

Why is this enforced?

Accounts Receivable (what customers owe you) and Accounts Payable (what you owe suppliers) are made up entirely of invoices, bills, credit notes and payments. That way the Aged Receivables and Aged Payables reports always agree with the Balance Sheet. A bank line coded straight to one of them would reduce the balance without telling any invoice it's been paid.

For the same reason, bank rules, split lines and manual journals can't use these accounts either.

The invoice isn't in the Match list

  • It may still be a draft. Approve it first: drafts can't be paid.
  • It may be in a different currency from the bank account. Foreign invoices are matched one at a time.
  • It may already be paid.

The money isn't for an invoice

If it's a deposit or a payment with no invoice, code it to an income or liability account instead, or raise the invoice first and then match. See How do I match a bank payment to an invoice or bill?
